This spreadsheet designed and used by Jodie Otte, is a simple "data entry" spreadsheet that is easy to use to keep track of photographers' income and expenses.   This was designed after frustrations with programs like QuickBooks that contained many areas that did not apply to photographers and other frustrations involving how to categorize expenses, etc.

 

Easy to use:  Click on each tab at the bottom of the spreadsheet that pertains to your expenses (office supplies, equipment, props, etc.), enter your receipt information and your sales/income information on the appropriate tabs, and each sheet has equations built in to total these figures and automatically transfer these totals to the first tab.  The first tab is your "Final Totals" at a glance.  This one simple page is all you will need to print out for your accountant.    Your accountant will love you! :)

 

This spreadsheet is not for photographers who wish to spend hours creating reports in QuickBooks or use programs like QuickBooks to accept client payment or link their bank accounts.  This spreadsheet is for the photographers who wish to simply enter data quickly, have the ability to see a constant running total of expenses and income, and simply print one final page to hand over to their accountant at the end of the year.

 

Do you need to know Excel?  No.  You simply need to have Microsoft Excel on your computer and be able to fill in blanks by typing in your information.

 

 

I've heard many photographers complain about being frustrated with intricate book-keeping programs.  I am hoping to fulfill a need of keeping business simple.  I personally do not have the time to be book-keeper to my business using programs that are confusing and cumbersome.  I've taken classes for QuickBooks and I have worked for actuaries designing Excel spreadsheets way back in 1995.   Using Excel has allowed me to be quick and efficient in my book-keeping, so I have more time to devote to my proofing and shooting. 

 

Sometimes simplicity is better, and I feel this is the case here.
